Refund Policy for Grounded Wellness Studio

Purpose:
This policy defines the conditions under which refunds will be issued for prepayments or unused services.
Policy Statement:
We aim to be fair and transparent in issuing refunds for prepayments or services not rendered. Refunds will be considered based on specific conditions outlined below.
Objectives:
- Prepayments for Services:
Prepayments for services are refundable only under specific conditions, such as: - The service was cancelled by the clinic with no alternative arrangements offered.
- The patient has overpaid or made a duplicate payment.
- Services were not delivered within the agreed timeframe.
- Unused Services:
If a patient pre-pays for a series of treatments or services but does not use them, a refund will be issued for the unused portion, provided that the cancellation occurs before the service has been rendered. If the services are booked but not attended, no refund will be issued. - Refund Process:
Patients requesting a refund must submit a written request, including proof of payment and a reason for the refund. Refunds will be processed within 30 days of receipt of the request. Payment will be refunded using the same method as the original payment. - Refund Exceptions:
Refunds may not be issued if the patient fails to cancel an appointment within the clinic's cancellation period or if the patient has received a partial or full treatment.
Responsibilities:
- Patients: Provide the necessary information to support refund requests and adhere to the clinic's cancellation and refund terms.
- Staff: Review refund requests promptly and process them in accordance with this policy.
Review and Monitoring:
This policy will be reviewed annually to ensure it is fair and in line with legal requirements and operational procedures.
